Mind blown by an Enterprise AI Engine

Mind blown! I have seen the glory of an Enterprise AI engine. When AI uses a Large Language Model (LLM) and a bit of Governance, it can deliver Enterprise knowledge ‘superpowers’, significantly improving the time taken to mine vast amounts of information and data for commercial benefit.
Repetitive commercial tasks
Like many companies, Digital Works Group pursues commercial opportunities via Client RFPs, Governmental and other procurement frameworks, or simply by writing proposals. In the past, responding properly and with good a chance of success has meant spending countless hours searching through company documents of various types, aligning responses to framework guidelines, standards and constraints and redrafting responses. Sometimes in the end one has just got to start from scratch, despite overall similarities in the task at hand.
One of the problems is that while many questions might be similar, they are not identical. Finding perfectly matching previous responses, and being sure the answer is the latest, most accurate one is like searching for a needle in a data haystack. Often, it’s just easier to start from a blank sheet – again – and that creates lots of work, time pressure and potential for getting answers ever so slightly wrong.
Leveraging knowledge under Enterprise control
It can be a struggle to access and leverage collective knowledge, a scenario that is replicated across industry verticals and functional areas, even affecting smaller organisations whose advantage is supposed to be agility. We are starting to see several solutions in the marketplace for this, including Google’s NotebookLM, which delivers amazing results very quickly but at this stage not in a scalable manner or with Enterprise-grade controls. Using off-the-shelf solutions can involve elements that are not necessarily compatible with use in a company due to reasons of privacy, confidentiality and IP protection and a lack of governance.
The answer
What is required is an entirely in-house ability to mine vast amounts of data in the flexible way that AI excels in whilst ensuring all enterprise-wide compliance and governance conditions are met. Through our partners, Creative Virtual, we believe we have done it! We have developed an AI tool that can give you this superpower and we can do the same for you, in short order.
I am convinced that every department of an organisation can use the tool we have developed in some way to drive efficiency, improve quality, consistency and to extract insights that can power an organisation to the next level. Consider these common scenarios:
- Commercial Proposal Management
- Teams spending 70% of their time effectively recreating existing content
- Multiple versions of similar responses across departments
- Inconsistent messaging and pricing across proposals
- Knowledge Management
- Critical information buried in siloed databases
- Inability to retrieve definitive, relevant precedents and best practices
- Valuable institutional knowledge lost with employee turnover
Our solution – a new AI-Powered Knowledge Search and Interrogation
Recently, we have seen tools like Claude.ai and ChatGPT drastically improve their ability to carry out multimodal analysis. In other words, using different sets of information with an AI to enable answer a scenario such as:
‘What do we do to answer question “A” with the information we possess in repositories “B” through “F”, within the constraints of framework “G”?
However there are limits in how much information one can leverage, and constraints in using public cloud and AI to answer questions that leverage potentially sensitive corporate information.
Additionally, the data sources involved in finding answers need to be referenced and controls put in place so that the answers remain within predefined ethical, confidentiality, IP and other guardrails. There needs to be an ability to start curating official, definitive, company-approved answers to a multitude of potential lines of questioning.
An added bonus is that the answers generated by the LLM layer adhere to chosen word limits and are consistent with their use of tenses and tone, something that often goes missing especially when several people work on the same document.

How it works
Our partners in this are Creative Virtual, who normally use this same tech to power conversational AI and knowledge management solutions – for example, having a chatbot on a website that truly knows the answers to everything and can answer in a safe way.
Together, we created an AI-enhanced private knowledge repository that transforms how organisations access and utilise their institutional knowledge.
Here’s how it works:
- Content Organisation
- Systematic chunking of existing documents using advanced natural language processing
- Automated metadata tagging and classification to enable semantic relationships
- Creation of a comprehensive enterprise-wide knowledge graph
- AI-Powered Search
- Context-aware query understanding powered by large language models (LLMs)
- Retrieval of relevant content based on semantic similarity and relevance
- Dynamic content generation tailored to each user’s specific needs while maintaining accuracy
- Intelligent Quality Control
- Automated fact-checking against source documents using knowledge base validation
- Version control and authority verification to ensure users access the most up-to-date information
- Ethical AI guidelines enforcement to prevent bias and ensure responsible usage
Putting this in place has enabled us simply to ask questions like:
How has Digital Works Group embedded Diversity, Equality and Inclusion into its working practices?
and to receive an answer instantly that comes from our real, evidenced track record of approaching EDI. Other responses have seen the tool pull together data that stretched over years, and presenting the information back in a coherent, narrative manner.
Use Cases
We are also able to leverage the source information much more quickly, enabling it to be pulled into reports and visualisations at the drop of a hat. We have saved hours already, at the same time improving our collective understanding of our Knowledge base. It is truly exciting and we are even more excited to start doing the same thing for clients old and new.
Here are some examples of how this is already working:
- Global Investment Bank – A leading global investment bank struggled with quickly generating compliant investment proposals for clients. By implementing an AI-powered knowledge management + LLM solution they were able to:
- Reduce proposal response time by 60%
- Improve proposal win rates by 35%
- Ensure 100% compliance with the latest investment guidelines
- International Law Firm – A prominent international law firm found it difficult to extract precedent cases and apply the appropriate legal language in new contracts. With AI, and with all the controls necessary to do it in a legally-defensible manner, they were able to:
- Reduce legal research time by 65%
- Generate contract clauses with 98% accuracy against source documents
- Improve consistency in regulatory compliance filings by 92%
We believe that there are rapidly-realisable benefits for Human Resources, Sales and Marketing, Research and Development and other important functional areas. Of course, this is new and needs to be evaluated against the business strategy and objectives in a managed and risk-aware manner, but Digital Works Group has a team that already understands the technology and is highly experienced in transformation change in data environments.
